Tournament Registration Instructions

The Palmetto Region uses Advanced Event Systems (AES) for tournament entries. See below detailed instructions on how to do this.

Tournament registration will open Sept 3rd, 2025 at 10am.  To be accepted, teams must register and pay.

Hotel reservation links will be posted on September 4th for all tournaments with suggested hotels. 

Palmetto Regional Championship events will be Stay to Play tournaments in 2026. Please see the Stay to Play policy page for more information and dates.

Division Placement Reminder

Teams should not register for both Kids Power/Developmental and Club levels during the same season.

Teams should avoid registering for both club and power divisions during the season. Power teams who register for a club division must play 2 age groups higher. There are no restrictions for club teams registering for power tournaments, but club teams who finish in the Gold or Silver bracket in multiple power divisions may be required to move to Power divisions.

Rule of Thumb: If your team held tryouts, it likely belongs in the Club division or higher.

Setup an AES Account

  1. Go to https://www.advancedeventsystems.com
  2. Select “Create New Account” (top right)
  3. Select “Register”
  4. Select “Create Club Director”
  5. Complete form and select “Create Club Account”
  6. You are automatically logged into your account
  7. Create your teams

Enter Events

  1. Select “Enter Event”
  2. Select event name to begin registering
  3. Verify the event requirements by division, then click “Register Teams” (at the top of the page)
  4. Make division selections, then click “Update”
  5. Build rosters if required by tournament, otherwise choose "Register without Roster" 
  6. Click “Continue” on the confirmation page.
  7. Payment Page (you will repeat this process for each event)
    Only online payments are accepted - select “Pay by Credit” and follow the instructions.

Tournament Acceptance

Acceptance into Palmetto Region Tournaments depends on:

  1. Registration received in AES
  2. Entry fees: Spot is not considered filled until fee is paid, will be based on date/time paid. Only online payments are accepted.
  3. If you request to move divisions from your original registration, you will be considered for acceptance under date of new request.

Online Tournament Check In

The Palmetto Region uses online tournament check in through AES. 

Online check-in will open approximately 6 days prior to each tournament, and will close 2 days prior to the tournament. 

Through the online check-in process, teams will need to verify that they have met tournament requirements and read PVA tournament policies, as well as provide a verified roster that includes all participants for the tournament. 

Individual tournaments may have additional check-in requirements, contact the host if you are unsure.

Note Important Junior Team Sanctions

Late tournament Team Withdrawals: 
WITHDRAW: Teams MUST notify us for any change or withdrawal AND receive an email back from us confirming this ( your protection from sanction or fine). If withdrawal is inside deadlines, fine and/or sanctions will be imposed and must be paid prior to club participating in any future events. See deadlines on tournament specific pages. Most one day tournaments have deadlines 3 weeks out- multi day begin 6 weeks out.
Out of Region Teams:  The above fines/sanctions will apply.  Teams who fail to adhere, the region will sanction the club to prevent any future region tournament participation.

Late Fee of $25 will be charged for entries within one month of tournament based on payment date.
