Palmetto Region Stay to Play Policy

Applies to PVA Region Championship Events

The Palmetto Volleyball Association (PVA) has adopted a Stay to Play hotel policy for all Region Championship Events. This policy is designed to ensure quality accommodations for participating teams, secure the best possible rates, and maintain strong partnerships with host cities and hotels.

Policy Requirements

Designated Housing Provider

  • All teams are required to book their hotel accommodations through the official housing provider, EventPipe.

  • Booking links will be provided to club directors and members beginning September 30, 2025.

  • Teams must be registered and paid for the tournament in order to be eligible to book hotels through EventPipe.

  • There is a $7 non-refundable booking fee per room charged at the time of reservation.

  • Participants will need to know their 11-digit team code in order to book. This can be obtained from your club director.

  • Minimum Room Night Requirement

    • Each team must book and maintain the following minimums through EventPipe:

      • 2-Day Events: 8 total room nights per team

      • 3-Day Events: 12 total room nights per team

  • Local Team & Player Exemptions

    • Teams located within a 60-mile radius of the event facility are exempt from the Stay to Play requirement.

    • Mileage is calculated from the club's primary practice facility address and exemptions are done on a team basis, not an individual basis.

    • Verification of the address is required, and all exemptions are subject to PVA Region approval and discretion.

  • Tournament Acceptance

    • Teams must meet three requirements in order to be accepted into the tournament. Teams will not be accepted without meeting all 3 of these requirements:

      1. Tournament registration (opens 9/3)

      2. Registration fee payment via AES 

      3. Meet the minimum hotel room night requirement

Enforcement

  • Teams that do not comply with this policy may be deemed ineligible for participation in PVA Region Championship Events.

  • If at any point between booking and the end of the tournament a team falls below the minimum room night requirement, they will have 48 hours to rectify the shortage or face fines.

  • Teams who do not meet the minimums will owe a fine of $25 per room night short of the minimum. Teams who do not comply with the fines will be dropped from the tournament.

  • Clubs are encouraged to plan early to ensure compliance and availability of preferred hotel options.

What is the Stay to Play policy?  

The Stay to Play policy requires all teams participating in PVA Region Championship Events to book their hotel rooms through the official housing provider, EventPipe, unless they qualify for an exemption.

Why does the Palmetto Region have a Stay to Play policy?

The policy ensures teams have access to quality accommodations, provides competitive rates, and strengthens partnerships with host hotels and cities. In addition, by providing a tangible, trackable number of hotel room nights, we can demonstrate the economic impact of our events to facilities and municipalities. This proof is critical when competing with other events for the same space and dates.

This program does the following to help members: 

  • Assures that we are able to get the best date requested for the event.  The more verifiable rooms nights you can show the city, the more the economic impact will be and more negotiations power to demand specific dates.
  • We are able to negotiate hotel room rates lower than individual can typically get. Hotels would not be restricted to keep competitive rates, and as rooms fill could increase rates as it gets closer to the event.
  • By doing this, we block enough rooms to assure all needing rooms are able to find rooms. Without a contract, hotels could sell out to other individuals or events and teams may have to stay well away from the venue.
  • With the economic impact, we can keep site rates lower- therefore keeping team entries lower.

When can teams begin booking hotels?

Booking links will be distributed to club directors and members on September 30, 2025. Teams must be registered and paid for the tournament in order to be eligible to book hotels.

How many hotel rooms does each team need to book?

  • 3-Day Events: Minimum of 12 total room nights per team

  • 2-Day Events: Minimum of 8 total room nights per team

A “room night” is defined as one hotel room booked for one night (e.g., 4 rooms for 3 nights = 12 room nights).

What if my team is local?

Teams located within a 60-mile radius of the event facility are exempt from the Stay to Play requirement. Mileage is calculated from the club’s primary practice facility address. Exemptions are subject to PVA Region approval.

What is the process for booking rooms?

Teams and families have two options:

  • Individual Booking: Families can book their own rooms directly through the EventPipe link provided.

  • Block Booking: A club or team representative can reserve a block of rooms on behalf of the team/club. Once the block is created, the representative will share the booking link with families, who can then book their rooms within that block. This ensures the team meets its room night minimum and stays together.

What happens if my team falls below the required number of room nights?

If at any time between booking and the end of the tournament your team drops below the minimum requirement:

  • You will have 48 hours to correct the shortage (by booking additional rooms).

  • If the shortage is not resolved, your team will be subject to fines.

  • Teams who do not meet the minimums or pay the fines will be dropped from the tournament.

Can families book outside of EventPipe?

No. All hotel rooms for the event must be booked through EventPipe to count toward your team’s room night minimum. Reservations made outside the system will not be credited and may be subject to cancellation.

What if the hotel I want is full?

EventPipe works directly with multiple hotel partners to provide a wide selection of properties at various price points. If your preferred hotel is full, you can select from other available options within the system.
